Privacy policy

Last updated: 14 July 2026. This policy describes the processing carried out through this website and its appointment and MOT reminder modules.

1. Controller

2. Data we process

• Contact and appointment details, including name, telephone number, email address and message content.
• Vehicle details, including make, model, description and registration number.
• Appointment details, including preferred date, required work and replacement transport choice.
• Technical and security data needed to limit form abuse, such as a temporary hashed identifier derived from the IP address.
• Only after separate consent: registration number, contact details, RDW vehicle data and MOT expiry date for the reminder module.

3. Purposes and legal bases

We use contact and appointment data to answer requests, prepare appointments and provide services. The legal basis is taking steps at your request before entering into a contract and, where a job is agreed, performing that contract (Article 6(1)(b) GDPR). Website security and abuse prevention are based on our legitimate interest in keeping the website safe and available (Article 6(1)(f) GDPR).

The MOT reminder module is separate from the appointment. It is used only when you tick the separate box below the registration field. The legal basis is consent (Articles 6(1)(a) and 7 GDPR). Leaving the box unticked does not affect your appointment or service.

4. Registrations and MOT reminders

A vehicle registration can, directly or together with other information, relate to an identifiable person and is therefore treated as personal data. With consent, the registration and contact details are copied to a separate, non-public part of WordPress. The module requests vehicle details and the MOT expiry date from RDW Open Data. These details are used to alert staff to an upcoming or expired MOT and, after a staff check, to send a personal reminder.

Consent is recorded with a date and text version. You may withdraw it at any time via info@nkcarsolutions.nl or +31 6 1721 6659. Withdrawal is not retroactive, but we will stop using the data and remove the MOT record, related alerts and linked synchronisation logs.

5. Retention

• Contact and appointment data is kept only as long as needed for handling, planning, performance, aftercare and applicable legal administration. It is periodically reviewed and deleted or anonymised when no longer needed.
• MOT reminder data is deleted when consent is withdrawn or when the vehicle no longer belongs to you. The default period is 24 months after the latest customer contact. Where justified by the expected MOT cycle and while still necessary, the administrator may configure a period between 6 and 60 months and must periodically review the need for a longer period.
• Technical MOT synchronisation logs are automatically deleted after 30 days.
• Data subject to a statutory retention obligation, such as parts of financial records, is kept for the applicable statutory period.

6. Recipients and external services

Data may be processed by providers needed for hosting, email and technical management. If the administrator enables the Google Calendar connection, appointment data may be synchronised with Google Calendar. Registrations are queried through RDW Open Data for MOT checks. Processor agreements are used where required. We do not sell personal data.

7. Security and access

Appointment and reminder data is not public. Access is limited to authorised staff and appropriate technical and organisational safeguards are used. No internet connection or storage method is completely risk-free; report suspected misuse to info@nkcarsolutions.nl.

8. Your rights

Subject to the GDPR, you may request access, correction, erasure, restriction, portability or object to processing. Where processing is based on consent, you can withdraw that consent at any time. Send requests to info@nkcarsolutions.nl. We may ask for additional information to verify your identity.

You may lodge a complaint with the Dutch Data Protection Authority. We do not make solely automated decisions that produce legal effects or similarly significantly affect you.

9. Changes

We may update this policy when the website, services or law changes. The current version is always published on this page.
